Turn email signatures into contacts

Convert email signature blocks into structured contacts (name, title, company, phone, and email), then export them to CSV with EmailToCRM.

Every professional email ends with a signature that was carefully written once and then ignored forever. That footer often has the best version of a person’s details: preferred email, direct dial, title, and company. Turning signatures into contacts by hand is copy-paste theater. Doing it automatically is how busy teams actually keep up.

EmailToCRM (emailtocrm.online) parses signature blocks from forwarded mail and turns them into contact records you can review and export.

Why signatures are high-quality lead data

Compared with a half-filled web form, a signature is usually maintained by the person themselves. Typical fields include:

  • Full name and job title
  • Company name
  • Work email (sometimes different from the From header)
  • Mobile or office phone
  • Website or LinkedIn URL

When you meet someone at an event and they reply later, their signature is often richer than whatever you typed into Notes on the trade-show floor.

The problem with “I’ll save it later”

Signature capture fails for the same reason CRM hygiene fails: it is a second job. After a day of replies, nobody opens each message, highlights the footer, and creates a contact. By Friday the valuable footers are buried under newer mail.

Forwarding is a smaller habit. One action per email, same destination every time, and the signature becomes a row in your list.

How EmailToCRM turns signatures into contacts

  1. Create a free account and copy your forwarding address.
  2. Forward emails that include external signatures you want to keep.
  3. EmailToCRM associates signature fields with the right email address and merges duplicates when the same person appears again.
  4. Check results in Contacts. Edit tags or drop anything that should not be stored.
  5. Export CSV for your CRM, dialer, or sequence tool.

On Team plans, route signature-heavy follow-ups with tags:

Tips for better signature capture

  • Forward a message where the person actually wrote (their signature is present), not a system notification without a footer.
  • Include quoted history when earlier messages in the thread have better signatures than the latest reply.
  • Prefer one forward per relationship-building email over batching dozens of unrelated messages with no context tags.
  • Review phone formatting once before a calling blitz; humans still catch odd OCR-style edge cases in weird HTML signatures.

Make the footer count

Signatures already contain the contact database your team keeps rebuilding. Forward them into EmailToCRM, keep the structured fields, and export when outreach starts, instead of scrolling for the phone number that was “right there” last week.
