Extract To, From and CC email addresses

Learn how to pull To, From, and CC addresses out of business email and turn them into structured contacts you can export to CSV.

July 3, 2026 · 5 min read

To, From, and CC are the three fields every sales and ops workflow already trusts. They tell you who sent the message, who it was for, and who was kept in the loop. Turning those fields into a durable contact list is where most teams stall, because the addresses live in the mail client, not in a database.

EmailToCRM (emailtocrm.online) extracts To, From, and CC when you forward an email, then stores them as contacts you can search, tag, and download as CSV.

The three fields that matter for contact capture

| Field | Why it matters | | --- | --- | | From | The person who initiated or replied, often your primary lead | | To | Direct recipients; frequently the decision-makers on the thread | | CC | Stakeholders, assistants, partners, and secondary buyers |

Together they describe the real buying group better than a single inbound form fill. Ignoring CC is how teams miss the champion’s manager or the partner who should get the follow-up.

Manual extraction vs forwarding

Opening “Show original” or expanding recipient chips works for one message. It does not scale across a week of intros and replies. Forwarding to EmailToCRM is the same action every time: select the mail, forward to your emailtocrm.online address, done.

You do not configure field mappings. Headers are parsed automatically, and body/signature details enrich the same records when present.

Step-by-step

  1. Create an account at signup. No card required on Starter.
  2. Copy your forwarding inbox address from the dashboard settings.
  3. Forward any email that has external To/From/CC addresses worth keeping.
  4. Review the extracted contacts under Contacts.
  5. Export CSV for CRM import or outreach tools.

On Team plans, encode context in the address itself:

you+from-cc+acme-q3@emailtocrm.online

Tags attach to every contact pulled from that forward so To/From/CC from one deal stay grouped.

Accuracy tips

  • Forward the message that still has the full recipient list, not a reply that trimmed CC.
  • Prefer the earliest useful message if later replies removed people you still want.
  • Deduplication merges the same address if it appears as both From and later To.
  • Skip purely internal threads unless you intentionally want colleagues in the list.

Put header addresses to work

To, From, and CC already contain your next outreach list. Forward them into EmailToCRM once, then export when you are ready to mail, call, or load your CRM, without rebuilding the header by hand.
