Extract all recipients from an email

Capture every To and CC recipient from a business email in one forward, then export a complete recipient list to CSV without manual copy-paste.

When a useful email lands (a partner announcement, an event confirmation, a group intro), the people you care about are often sitting in the recipient fields. Extracting all of them by hand means opening the full header, copying each address, and pasting into a sheet. Miss one CC and you have already lost a lead.

What “all recipients” usually means

In practice, teams want everyone who was intentionally included on the message:

  • Primary To recipients
  • CC recipients who were meant to stay in the loop
  • Sometimes people mentioned only in the body who were not on the header

BCC recipients are not visible to other parties, so they cannot be recovered from a forwarded copy you received, and that is correct for privacy. EmailToCRM focuses on what is actually present in the mail you forward: headers plus body contacts.

Why header-only copy-paste fails

Mail clients collapse long recipient lists. On mobile, expanding “to 12 others” is clumsy. People also forget that the same address may appear again in a signature or a quoted intro with a better display name. A dedicated extractor that reads the whole message beats hunting through the UI.

How to extract every recipient with EmailToCRM

  1. Sign up free and copy your personal forwarding address from Settings.
  2. Forward the email as-is to that address (for example alex@emailtocrm.online).
  3. Open your contacts dashboard and review the new rows.
  4. Optionally tag at forward time on Team plans: alex+recipients+partner-update@emailtocrm.online.
  5. Export CSV when you need the list in a CRM, mail merge, or spreadsheet.

  • Group intros where several prospects were addressed together
  • Vendor or partner updates with a wide CC list
  • Internal forwards that already include external customers on To/CC
  • Event logistics threads where organizers CC regional contacts

Keep recipient lists usable

After extraction, spend a minute cleaning:

  • Drop your own domain if teammates were CCed
  • Confirm display names look right before outreach
  • Tag by campaign or account so next week’s export is filtered, not everything
