How to collect leads from email with EmailToCRM

Most leads do not arrive in a tidy spreadsheet. Step 2: Forward emails as leads appear

Step 4: Review before you reach out

Before exporting, spend a few minutes in your contacts dashboard. Search by name, email, company, or tag. Confirm duplicates were merged correctly, add or adjust tags manually if needed, and remove any contacts that were extracted by mistake (for example, your own team on CC).

This review step is short, usually faster than cleaning a manually built spreadsheet, but it prevents embarrassing outreach to the wrong person or stale duplicate records in your CRM.

Step 5: Export to CSV and start outreach

When you are ready to work the list, export a CSV from the dashboard. Every plan includes CSV export. You can download all contacts or filter by tag first, for example export only lead+hot contacts from last week's conference.

Import that file wherever you run outreach:

  • Your CRM (HubSpot, Salesforce, Pipedrive, etc.)
  • A mail merge tool for personalized follow-ups
  • LinkedIn Sales Navigator or another prospecting workflow
  • A simple spreadsheet if that is how your team tracks pipeline
