Capture conference leads from email follow-ups
Turn post-conference email follow-ups into an organized lead list. Extract contacts from threads and export CSV while event context is still fresh.

Conferences create a spike of email: “Great meeting you at…”, shared decks, group intros from organizers, and “connecting you with our AE” threads. The badge scans may live in the event app, but a surprising amount of real buying interest shows up later in follow-up email. If those messages are not captured, the booth investment leaks into the inbox archive.
EmailToCRM (emailtocrm.online) captures conference leads from email follow-ups with a forward-based workflow your team can run from the airport lounge.
Why post-event email is a goldmine
- People who follow up by email self-selected for interest
- Threads often include extra colleagues not on the badge list
- Signatures supply title, company, and phone missing from scanner data
- Organizer forwards may contain whole clusters of relevant attendees
Scanner CSVs and email follow-ups are complementary. EmailToCRM focuses on the second channel without replacing your event tool.
Event capture playbook
Before the conference:
- Create accounts for reps who will receive follow-ups.
- Agree on tags, for example
+conf-2026,+booth,+speaker-meetup. - Save each person’s
name+conf-2026@emailtocrm.onlinestyle address in their phone contacts.
During and after:
- Forward every meaningful follow-up to the tagged address.
- Include full threads when organizers CC multiple prospects.
- End of each day, skim Contacts for odd extractions.
After the event:
- Filter by the conference tag and export CSV.
- Import to CRM with the event campaign source filled from your tag.
- Launch sequences while the conversation is still recent.
What to forward (and what to skip)
Forward: thank-you replies, intro emails from people you met, sponsor/organizer contact lists, “looping in procurement” messages.
Skip: purely logistical hotel confirmations with no prospect contacts, internal staff coordination, and spam that happens to mention the event name.
Keep conference leads organized
Use one primary event tag plus a secondary intent tag when needed:
alex+conf-2026+hot@emailtocrm.online
That way your export can be “all event contacts” or “only hot follow-ups” without rebuilding filters in a spreadsheet.
Leave the venue with a list, not a pile of threads
Conference ROI improves when follow-up email becomes structured leads the same week. Forward those messages into EmailToCRM, export CSV, and reach out while attendees still remember the conversation.
